How to add a signature in Gmail (step by step)

Setting a Gmail signature takes about a minute, but the option is tucked away in settings and the defaults trip people up. Here is the exact path on desktop, then how to handle mobile.

On Gmail desktop

  1. Open Gmail and click the gear icon in the top right, then See all settings.
  2. Stay on the General tab and scroll down to Signature.
  3. Click Create new, give it a name, and paste or type your signature in the editor.
  4. Under Signature defaults, pick your new signature for new emails and, if you want it on replies too, for on reply/forward.
  5. Scroll to the very bottom and click Save Changes. This step is easy to forget.
If you build your signature with a tool like Signify, copy it, click into the Gmail signature box, and press Ctrl+V (or Cmd+V on Mac). The formatting, links, and any images come across intact because it is pasted as rich HTML, not plain text.

On the Gmail mobile app

Mobile signatures are separate from desktop and far more limited. Open the Gmail app, tap the menu, go to Settings, choose your account, then Mobile Signature. The mobile editor is plain text only, so save your rich HTML signature for desktop and keep mobile short.

Why your signature might not show up

  • You forgot to hit Save Changes at the bottom of the settings page.
  • The signature defaults are still set to No signature.
  • You set it on desktop but are checking on mobile, which uses its own signature.
